Caspian One- Transforming Data into a Strategic Sales Asset

The Challenge

Caspian One approached us with a common challenge: years of accumulated CRM data that needed optimisation to become a true business asset. Their Vincere database contained thousands of records with incomplete information, duplicate entries, invalid contact details and outdated employment data.

The opportunity? To unlock the full potential of their sales team’s targeting capabilities, maximise marketing ROI and capture previously missed revenue opportunities.

Our Approach

We began with a comprehensive data audit, revealing the full extent of the opportunity and allowing us to provide expert recommendations tailored specifically to Caspian One’s needs. Working collaboratively with their team, led by John Watts (Project Lead), we prioritised actions and established clear success criteria across their entire Vincere platform: Companies, Contacts and Candidates.

The Work

What followed was an intensive, multi-phase data optimisation project that combined cutting-edge enrichment tools, advanced AI capabilities and meticulous quality control.

Project Overview

AI-Powered Intelligence at Scale

At the heart of this project was our deployment of Clay alongside the latest large language models, including ChatGPT API and Claude, to make intelligent decisions at scale. We didn’t just enrich data; we applied AI reasoning to validate, classify and filter information with human-like judgement.

AI models assessed confidence levels, automatically filtering out irrelevant results whilst validating that discovered information genuinely related to the records in question. When enriching industry classifications and functional expertise tags, we leveraged AI to analyse job titles and employment history, mapping unstructured data to standardised categories.

Comprehensive Data Enrichment

We deployed a sophisticated toolkit to systematically validate and enrich records across all datasets. We populated missing website details, LinkedIn URLs, phone numbers, mobile contacts, email addresses and industry classifications, ensuring there was no reason why prospects couldn’t be contacted.

Intelligent Deduplication

We applied AI models to perform sophisticated matching logic that recognised duplicates even when traditional field-matching would miss them. For contacts who had moved companies, we implemented AI-enhanced name-matching algorithms to preserve relationship intelligence whilst eliminating fragmentation. AI helped determine master records based on completeness and recency, a task that would previously have been completely manual and subject to error.

Strategic Quality Control

Using AI-powered formulas, we surfaced high-confidence enriched data whilst filtering out “Insufficient Data” flags. The AI also identified patterns in data quality issues, revealing systemic problems and allowing us to address root causes rather than just symptoms.

The Results

The impact was substantial and immediately measurable:

Contact Database

  • Significant increase in Functional Expertise and Industry tags
  • Email bounce rate reduced to negligible levels
  • LinkedIn profile coverage expanded to nearly half the database
  • Substantial volume of mobile numbers added
  • Quarter of previously unreachable candidates now have valid personal emails

Company Database

  • Thousands of high-quality companies retained after enrichment
  • Nearly a quarter of duplicate companies identified and consolidated
